Program and Events Coordinator (please note, this is a full time position in Park City, Utah.)
Position Summary:
Baptiste Power Yoga Institute offers a robust annual calendar of programs and events ranging from introductory workshops and full day immersions, to in-depth three & five day programs, and our flagship seven day teacher trainings, Level One and Two. These programs provide personal transformation experiences through yoga asana, discussion, and self inquiry work to a global and diverse clientele. A successful program & event coordinator will help create quality events with high enrolment. You act as the main point of contact for all enrolled and potential participants, answer all questions, and help the participants choose the program that best matches their needs.
You deliver all participant communications including confirmation emails, event details & information, follow-up surveys, and act as the first point of contact for all inquiries. You process all financial transactions for participants including tuition payments, deposits, refunds, cancellations, and transfers. You deliver excellent guest service and have an upbeat attitude and energy. You work directly with the Director of Programs and Events and organize some logistics and event set up with venues as needed. You develop measures to ensure the success of every event and program, evaluate and solve problems in the moment, and maintain a positive image in dealing with staff, participants, and vendors.
Specific Responsibilities include:
- Enrolment and registration— act as the first point of contact for all customers in a warm, welcoming and friendly manner and book customers into programs and events. Process all applications, payments, and housing assignments. Exceed enrolment goals and drive attendance to unprecedented levels.
- Customer service and consultation— answer incoming phone calls and questions and help participants select programs that fit their needs. Inform clients of upcoming events and drive enrolment.
- Acquire new customers— prospect and discover new customers and introduce them to the Baptiste programs and events.
- Event planning— work closely with Director of Programs & Events on any venue logistics, shipping, packing, research or payment.
REQUIREMENTS
- Bachelor's Degree in Business or related field, or equivalent work experience required
- Relationship management skills with business to business vendors and direct customers
- Direct sales and event planning/management experience is preferred
- Basic accounting skills
- Working knowledge of standard business tools such as Outlook, Excel, Power Point.
- Experience in managing customer transactions such as taking payments, issuing refunds, setting up automatic payment plans and booking customers in a database or online system.
- Strong organizational time management skills; Strong problem solving skills; Strong ability to grasp concepts and processes;
- A customer focused individual with good interpersonal, communication, and negotiation skills, strong analytic and quantitative skills, and a proven ability to create excellent events and deliver excellent guest interactions
Experience or familiarity with Baptiste Yoga and retreats is a plus
